Practice Assistant

We are currently seeking a Practice Assistant to provide back office support for the wonderful, patient friendly urgent care centers we have in the Portland area. This position will have the responsibility of managing Accounts Receivable including billing liaison with 3rd party service provider, handling patient billing issues, credentialing physicians (and maintaining their status) with carriers, negotiating contracts with existing and new carriers, overseeing collections processing and tracking payment and payment plans. Other in-clinic responsibilities include providing patient financial counseling and going over insurance pre-authorizations and verifications.

The Practice Assistant also works with the lead MAs to ensure smooth patient processing flow during busy times at the clinics. A key member of the local clinic team the Practice Assistant may have ownership of relevant center related MBOs (Management Objectives).

Qualifications

  • Minimum of 5 years experience in a billing or back office management function.
  • Experience with healthcare carrier contracts, worker compensation and Fee for Service billing.
  • Experience with credentialing physicians with insurance carriers.
  • Comprehensive knowledge of billing (CPT, ICD-9) codes and claim processes, including: claim follow-up, appeals, statement runs and claim resolution.
  • Basic knowledge of accounting as it relates to management of Accounts Receivables.

Medical Assistant with Oregon X-ray Licenses

We are currently seeking a Medical Assistant to greet and register our wonderful patients, lead front office administrative tasks and assist providers in back office patient care. We are looking for caring medical professionals who enjoy the fast paced variety of urgent medical care, working as a member of a high-performing team. Ideal candidates have relevant professional experience and want to apply their creativity to the diversity of patients we serve. Our Medical Assistants know how to do their work independently and contribute as a member of a small well-coordinated team and ensure accuracy in capturing and processing a significant amount of medical information.

If you join us you will play a key role in our ability to meet and exceed patient expectations. You will initiate and build warm and trusting relationships with patients, attend to their immediate needs, do triage, and collect and organize necessary information for our physician.

If you enjoy working with patients, are well-organized, detail-oriented with strong communication and computer skills, and would enjoy working in a fast-paced atmosphere, you may have what it takes to be successful in this position. Experience in another urgent care center helpful, but not required.

Clinic Manager

We are currently seeking Clinic Managers to manage the wonderful, patient friendly urgent care centers we have in the Portland area. This position will have the responsibility of managing the day-to-day operations of an urgent care center. This is a leadership position in the organization, with ownership of center related MBOs (Management Objectives).

Job Duties

  • Select and hire employees according to established guidelines. Monitor, coach, develop and evaluate performance of staff on an ongoing basis in accordance with applicable performance standards.
  • Analyze and schedule MA staff to meet needs of the business and patients efficiently and courteously.
  • Manage checklists and indicators related to the operations like opening and closing tasks/checklists, lab operations tasks/checklists, wait times and inbound/outbound patient phone calls.
  • Manage supplies, including inventory and ordering. Establish and maintain effective working relationship with vendors.
  • Chart audits and billing audits, interfacing with the billing operations to ensure timely and accurate claim submissions.
  • Responsible for assuring customer/patient service needs are met. Monitor patient service feedback and contribute to the process of resolving complaints and service issues.
  • Interfacing with the provider team and Medical Director on operational and clinical matters.
  • Build strong positive communication with physicians and work as a team to enhance the success of the practice.
  • Complete various special projects, which may require reviewing and analyzing information, identifying problems, recommending solutions and writing reports.
  • Limited outreach to the community and function as the clinic liaison with patients, businesses, hospitals, and provider community.
  • Maintain on-site Medical Records administration and ensure that all state and federal regulations governing the release of information is followed.
  • Responsible for OSHA and other regulatory training and compliance. Coordinate cleanliness, orderliness and safety of working environment.
  • Work with the sales team to identify opportunities to expand revenue sources and ancillary services.

Qualifications

  • Minimum of 3 years experience managing a healthcare clinic or operation.
  • Good supervisory skills including a minimum of 3 years managing others.
  • MA diploma or licensure with at least 2 years' experience.
  • CMA certification would be desired, but not required.
  • Knowledge of budgets and budget process including limited math/accounting skills and ability to make sound financial decisions.
  • Possess excellent verbal and written communication skills, leadership and organizational skills, and interpersonal and time management skills.
  • Knowledge of CPT/ICD-9 coding procedures and be familiar with Medicare, and commercial insurance billing procedures.
