What we need:

The Operations Manager oversees clinic operations and supervises non-provider clinical staff of a growing urgent care medical practice with multiple clinic locations. This is a co-manager position - along with another Operations Manager. He/she also collaborates with the Managing Partner’s staff to ensure all the clinics - and related centralized functions - operate efficiently and profitably. Knowledge of medical practice and previous management of supervisory/management staff are required. Good communication, attention to detail, ability to motivate and effectively lead the team are essential skills. Ability to work with physicians and resolve human dynamics/issues in busy clinic settings is critical; coaching managers and staff in this area is vital to success in this position.

Major Responsibilities:

  • Staffing and Scheduling of Medical Assistants and Administrative Assistants - directly and through the managers
  • Monitoring, Coaching, and evaluating performance of managers and staff
  • Ensure that there is a good training infrastructure and management expectations are clear
  • Ensure - by working with the HR group - that there is a robust HR framework for hiring and performance management, including onboarding of new employees
  • Ensure clarity on company policies and procedures; and consistent enforcement of these policies.
  • Create and manage budgets for supplies; ensure that managers/clinics have robust processes for managing inventory and ordering
  • Work with clinic managers/vendors and authorize invoices for supply orders
  • Interface with billing department and external billing vendors to optimize clinic revenue
  • Ensure that customer/patient service needs are met, by focusing on NPS score, external reputation and related details
  • Function as a practice liaison with external businesses

Job Skills:

  • Demonstrated ability to plan, budget and execute on strategic plans
  • Ability to work within a staff of functional managers (Marketing, HR, Medical Director, Finance etc)
  • Ability to utilize electronic medical records systems 
  • Proficient use of back office equipment - computers, printers, scanners and basic IT knowledge (switches, routers, access points etc)
  • Intermediate skills with word processing, spreadsheets, and slideshow presentation software. Google Workspace/Docs knowledge/experience would be an advantage.
  • Public speaking and presentation ability
  • Ability to utilize coaching techniques to manage and develop team members
  • Customer service skills; previous retail experience will be an advantage. Demonstrate ability to be courteous and respectful when interacting with patients and family members
  • Understanding of functionality of medical billing cycle and revenue cycle management
  • Demonstrate the ability to maintain good inter-personal relationships with co-workers and health team members
  • Demonstrated competency in working with physicians and other providers. Must be proficient in problems solving and negotiating with the provider group 
  • Communicates through appropriate channels using good judgement - usage of email, vs. in person meetings or phone calls
  • Demonstrate ability to handle emergency situations calmly and effectively

Education & Experience:

  • Bachelor's degree
  • At least 5 years of work experience in the medical field. Urgent or Primary Care experience a plus
  • At least 5 years management experience is required; at least 1 year of managing supervisors or managers
  • Must have intermediate skills in MS Word, MS Excel and be internet savvy; competency in Google Workspace/Docs will be an asset
  • Proficiency in EMRs is a must; knowledge of DocuTap EMR is a plus. The expectation is to be a superuser of the EMR
